Job Summary
To effectively manage and delegate your Front Office team’s roles and responsibilities, maintain an efficient and effective flow of the Front Office. Ensuring that our patients receive outstanding services.

Job Responsibilities
Ensure that the Front Office are meeting the needs of our current patients’ in a timely manner. Oversee that the Front Office recognizes and capitalizes on sales opportunities through various mediums (walk-ins, customer referrals, telephone inquiries, patient retention practices, etc.) Conduct effective training on protocols for telephone follow up to reschedule “no shows" and cancellations according to company policies. Maintain a high level of professionalism when completing the duties and responsibilities of the Patient Care Coordinator Trainer. Manage and train all new Patient Care Coordinators to continually improve performance and skill level. Recognize achievements and give team member performance appraisals. Ensure that all Patient Care Coordinators are aware of any training they must receive to increase their rank a monitor performance of these duties for promotions. Train all team members to provide world-class customer service to all patients and families. Work to resolve conflict among team members. Take necessary disciplinary measures with directions of the Practice Administrator and Human Resources.
Tactical Work Responsibilities
Assist with issues involving the medical office during offices hours and outside of office hours via onsite visit and phone. Assist Office Manager with performance evaluations. Ensure that all Patient Care Coordinators are maintaining well organized appointment schedule to optimize patient flow and revenue opportunities Participate in daily pre-shift huddles for the office visit in daily schedule. Make eye contact and greet every patient by name with a smile. Ensure Patient Coordinators are up to date with insurance eligibilities and appointment confirmations Help Patient Coordinators troubleshoot and clarify insurance eligibility issues and PCP changes made if needed
Ensure Patient Coordinator coverage during lunch rotation, shortage and/or vacation. Make daily bank deposit in the absence of the Office Manager Ensure that all close out and balance the day protocols and procedures are followed. Ensure patient copays/deductibles and past due balances are being collected by conducting an audit for each office. Maintain and comply with company metric expectations Ensure Patient Coordinators have addressed all Jelly Beans on a daily basis and identify any issues. Understands and follows the Code of Conduct and HIPPA guidelines. All other duties assigned
Requirements:
Must be able to perform each essential duty satisfactorily Proven leadership ability and experience High School Diploma or equivalent required Some college coursework preferred Experience in an environment with an emphasis on sales, customer interaction, and having to work with multiple tasks is required Past experience working with senior population is an asset Excellent oral and written communication skills Ability to establish and maintain a professional rapport with patients and co-workers Computer/Keyboard skill Proficient with MS Windows, Office and EMR Ability to be flexible in work responsibilities Ability to function in a multi-tasking environment Ability to work in a fast-paced environment Strong oral and written communication skills
